A server move has two halves. The technical half, backups, shutdown sequence, DNS, the go-live checklist, belongs to your IT team or managed-service provider, and we plan the move with them, not around them. The physical half is ours: every device labeled against a manifest, cabling photo-documented before a single cord is pulled, components packed in anti-static materials and padded transport cases, and racks rolled or de-racked according to what the equipment and the route demand.
Custody is the part most movers hand-wave and we document. High-value assets travel in sealed, numbered containers logged at every handoff, the truck is live-tracked with a text to your project contact, and the same crew that loaded unloads. One rule we hold on every IT job: data protection is done before we arrive, full backups run and sensitive drives encrypted by your team. Hardware is replaceable and insured; your data should never need either.

A two-rack server closet and a raised-floor room are different jobs, and the free walkthrough sorts that out before anyone quotes anything. Both get the same structure: after-hours or weekend windows, a labeled teardown that mirrors the reinstall, and a punch-list walkthrough with your IT lead before we call it done.
What your IT team should have ready before move day
Server moves fail in preparation, not in transit. The projects that go smoothly are the ones where a short list of things was true before a single rack was touched, so this is the list we walk through with your IT lead at the survey.
Backups verified and restorable, not just scheduled. A backup nobody has tested is a hope. Current configuration exports for switches, firewalls, and anything else whose settings live only in the device. A written shutdown order and a written power-up order, because the sequence that brings a stack back cleanly is rarely the reverse of the one that took it down. An asset list with serial numbers, which becomes the manifest we sign against at every handoff.
Then destination readiness, which is where most delays actually come from. Rack space measured and confirmed against the equipment that is coming, not assumed. Power at the right voltage with the right receptacle types and enough circuits, verified by an electrician rather than counted off a panel schedule. Cooling adequate for the load in the new room. Network drops live and tested, and the uplink from your provider turned up and confirmed before the hardware arrives rather than on the same day.
The last item is the one people skip: a rollback. If the new room is not ready when the trucks arrive, what happens. Having that answer agreed in advance is the difference between a delay and a crisis.
Custody, documentation, and compliance paperwork
If your organization handles patient records, cardholder data, student records, or client files under a confidentiality obligation, then the servers and drives holding that data cannot simply be loaded into a truck. The physical custody of that hardware is part of your compliance posture, and an auditor will ask who had it and when.
So the chain of custody is documented rather than assumed. High-value and data-bearing assets travel in sealed, numbered containers, each seal logged against the manifest at origin and checked at destination, with a signature at every handoff. The truck does not make unrelated stops. Equipment is not left unattended in an unsecured space overnight. Where you need the hardware never out of sight of your own staff, your team can ride along or meet the truck, and plenty of clients do exactly that.
You get the completed documentation at the end: the manifest, the seal log, the pre-teardown cable and port photographs, and the signed handoffs. That package is what you hand to your auditor or your insurer, and it is the part that distinguishes a documented IT relocation from a furniture move that happened to involve servers.
